These Terms & Conditions outline the policies, expectations, and responsibilities for all clients attending By Freya Infant Wellness. By making an appointment, entering our premises, or purchasing a product, you agree to the following terms.

1. GENERAL TERMS

  • By Freya Infant Wellness provides wellness services including infant hydrotherapy, infant massage, educational classes, and retail sales.

  • These services are not medical treatments and should not replace medical advice.

  • All babies must attend with a responsible parent or legal guardian who remains present and supervising at all times.

2. BOOKINGS & APPOINTMENTS

2.1 Booking Confirmation

  • All bookings must be made through our online booking system (Acuity Scheduling).

  • You will receive an automated confirmation email once your booking is secured.

2.2 Arrival Time

  • Please arrive 5–10 minutes early to settle your baby and complete any required steps before the session begins.

  • Late arrivals may result in a shortened session out of respect for clients booked after you.

2.3 Cancellations & Rescheduling

  • Cancellations or changes must be made a minimum of 12 hours prior to your appointment.

  • Changes made within 12 hours may be subject to forfeiture of the session.

  • No-shows or repeated late cancellations may result in restrictions on future bookings.

2.4 Sickness Policy

For the safety of all babies:

  • Please cancel or reschedule if your baby is unwell (fever, vomiting, diarrhoea in past 48 hours, rash, infection, or contagious illness).

  • If your baby attends while unwell or is deemed unfit for hydrotherapy/massage by staff, the session may be stopped and rescheduled at our discretion.

3. HYDROTHERAPY & MASSAGE POLICY

3.1 Parental Supervision

  • A parent/guardian must remain within arm’s reach of their baby at all times.

  • Parents are fully responsible for their baby’s safety throughout the session.

3.2 Safety Requirements

You agree that:

  • Your baby is medically well enough to participate.

  • You have disclosed any health conditions, allergies, skin concerns, or developmental concerns.

  • You understand hydrotherapy involves warm water, flotation devices, and gentle movement.

3.3 Vaccinations

  • Babies who are unsettled following vaccinations may have reduced tolerance for sessions.

  • We recommend waiting 24–48 hours if your baby has had a reaction to vaccines.

3.4 Baby Cues

Sessions may be paused or stopped if your baby shows signs of distress, fatigue, hunger, or overstimulation.
This is for your baby’s wellbeing and is not grounds for refund.

4. RETAIL PURCHASES

4.1 In-Store Purchases

  • All retail products are available for in-store purchase only.

  • Prices are listed in AUD and include GST unless otherwise noted.

4.2 Returns & Exchanges

  • For hygiene reasons, we cannot accept returns on dummies, oils, skincare, or opened products.

  • Clothing and textiles can be exchanged within 7 days, unworn, unwashed, and with tags attached.

4.3 Product Safety

  • It is the parent’s responsibility to follow manufacturer guidelines for safe use (including dummy sterilisation, replacement every 4–6 weeks, and safe-sleep bedding recommendations).

5. MEMBERSHIPS & PACKAGES

5.1 Membership Benefits

Benefits may include discounted hydrotherapy sessions, members-only events, Twilight Sessions, priority booking, or access to member resources.

5.2 Membership Fees

  • Memberships are paid upfront or on a recurring basis as specified at checkout.

  • Membership fees are non-refundable.

5.3 Membership Changes

  • By Freya reserves the right to update membership inclusions.

  • Members will be notified of any major changes.

5.4 Non-Transferable

  • Memberships and packages are non-transferable and can only be used by the baby enrolled.

6. PHOTOGRAPHY & MEDIA

6.1 In-Studio Photography

  • We may capture general photos or content in our space from time to time.

  • Babies will only be photographed with explicit written consent via our Photography & Media Consent Form.

6.2 Social Media Usage

  • Photos and videos may be used across Instagram, Facebook, website, digital advertising, and printed materials according to your consent selection.

6.3 Withdrawal of Consent

  • You may withdraw consent at any time for future use.

7. LIABILITY & DISCLAIMER

7.1 Not a Medical Service

  • By Freya Infant Wellness does not diagnose, treat, cure, or prevent medical conditions.

  • Always consult your GP or paediatrician for medical concerns.

7.2 Participation is Voluntary

  • By attending, you acknowledge that participation is voluntary and that you assume all risks associated with hydrotherapy and infant massage.

7.3 Release of Liability

  • By Freya Infant Wellness, its staff, and contractors are not liable for:

    • injury caused by failure to follow safety instructions

    • pre-existing medical conditions

    • accidents resulting from lack of parental supervision

    • adverse reactions to products, oils, or materials

7.4 Personal Property

  • We are not responsible for lost, stolen, or damaged belongings.

8. PRIVACY & DATA

Please refer to our full Privacy Policy for information about how we collect and protect your data.

9. RIGHT TO REFUSE SERVICE

We reserve the right to refuse or discontinue service if:

  • a baby is unwell or unsafe to participate

  • a parent displays aggressive or inappropriate behaviour

  • safety guidelines are not followed

This is to ensure the wellbeing of all clients and staff.

10. CHANGES TO TERMS

By Freya Infant Wellness may update these Terms & Conditions at any time.
Continued use of our services implies acceptance of the latest version.
